Preparing for Your Visit

*Complete the COVID-19 Screening Survey each morning before you attend campus events. Be prepared to show that green badge. See details below.

*Visitors must wear face masks in all indoor spaces except when they are eating or drinking. Unvaccinated people are required to mask for all indoor public settings.

*Check the weather to best prepare for your visit and clothing options.

*Pack face masks, hand sanitizer and sunscreen. Tip: Don't toss the mask at the end of the events. You'll need it when you hop on the SB Airbus after dinner to go back to your hotel at 7:30 PM.

*Dress in layers and wear comfortable walking shoes. There will be a 15-20 minute walk to the beach dinner.

COVID Protocols

Please review the up-to-date mask mandates for UCSB here and for Santa Barbara County here. Individuals invited to campus for in-person graduate student recruitment should be fully vaccinated against COVID-19 or have received a negative COVID-19 test result within 3 days prior to their visit. They also should know they will be asked to complete the On-Demand Daily COVID-19 Screening Survey prior to their arrival, and every day thereafter while they are on campus so they can self-attest to their vaccination and/or negative COVID-19 status and report any symptoms they may have. Once completed, the screening survey will produce a COVID-19 Daily Clearance Certificate that will display a green color if the visitor is cleared to be on campus, and departments can ask to see that certification. If a COVID-19 test is required, that also will be noted. Hosting departments are allowed to ask to see the negative test result, or they may rely on self-attestation. Visitors will receive the clearance certificate via email, and departments will to ask to see the certificate.


*Be sure to do the survey before you arrive on campus for Monday, 4/4 events that morning, as it can take some time for the clearance badge to be available.

Steps to Setting Up Your Visit

RSVP to Visit Day by 3/1/22 at this link that was in your admit letter. Deadline has passed. 

Reserve your flight or travel plans, if relevant. UCSB will pay for up to $210 in travel within California, or up to $320 outside of California.

Reserve your hotel by 3/11/22 by 11:59 PM Pacific Standard Time. Physics will reimburse you for up to 2 nights at the rate below per night. There is a block of rooms at the following hotels below. UCSB will pay for 2 nights, Sunday, April 3 through Tuesday, April 5. Please note that the hotels are right now door to each other.

*Make sure you reserve and select the "Physics Graduate Student Visit Day" to get the reduced rate. UCSB will reimburse you for the agreed upon rate as shown below.*

The hotels are walking distance to the Calle Real Center. Check out the nearby stores and restaurants.

You will be contacted about the reimbursement process, once Concur, the new reimbursement system, is updated. Keep your receipts for future reference.

4:50 PM-Pack your face mask which is required on public transportation to and from your hotel. Wear comfortable walking shoes and consider wearing a light jacket or sweater. Check the weather for the evening forecast. Meet outside of your hotel of the Leta or Best Western Inn to meet with current graduate student hosts for the Downtown Santa Barbara dinner.

Molly Kaplan and Francisco Setti will be the Host Leaders at the Leta Hotel. 

Fernando Iniguez and Jared Goldberg will be the Host Leaders at the Best Western Inn. 

5:00 PM-The SB Airbuses will pick up at The Leta and the Best Western Inn. The buses will drop off at State Street and Ortega Street, near McConnell's Ice Cream. Remember this drop off spot. This is the same location as the pickup. Please note: If you miss the designated transportation to and from this event, you will be responsible for making transportation arrangements at your expense.

8:00 PM-Meet at drop off location for pickup back to hotels. Remember your required face mask.

6 AM - 8 AM - Pack that required face mask and a light jacket or sweatshirt. Complete the mandatory COVID Screening Survey. List Brittany Boxley, as the Designated Contact Name. Her email is acadaffairs@physics.ucsb.edu. Have that green clearance badge ready to show on your phone upon arrival to campus. (Tip: You can save it in your photos or as a phone wallpaper for quick retreival.) You may need to sign into the guest registration for WiFi once you are on campus. 7:00 AM - 8:00 AM - Enjoy a hot beverage in your hotel lobby while you wait for the bus. Face masks are required on public transportation. Mingle with the other visitors.

8:15 AM - Transportation to UCSB for guests staying at The Leta Hotel

The Santa Barbara Airbus will be waiting outside of the hotel to take you to Mosher Alumni Hall.

The Santa Barbara Airbus will be waiting outside of the hotel to take you to Mosher Alumni Hall.

Please note: If you miss your designated bus, you will be responsible for arranging transportation at your expense. If you are planning to drive yourself to the campus, please allow a little bit of extra time as you will need to obtain a visitor's parking pass. 9:30 AM - 11:00 AM - LCO Tour with Andy Howell, LCO Astronomer and Adjunct Professor. (Meet in parking lot adjacent to Mosher Hall.) Please note that visitors to LCO headquarters must be vaccinated. Tour of the headquarters Las Cumbres Observatory, a global network of 25 robotic telescopes placed all over the world. At LCO headquarters, 2.5 miles from campus in Goleta, you can see the telescopes and instruments being built, and find out about the science they do. It focuses on time domain astronomy, including extrasolar planets, supernovae, kilonovae, tidal disruption events, stellar variability, active galactic nuclei, and solar system objects. Many LCO astronomers are affiliated with UCSB physics, and students can do projects with them.

7:30 PM - SB Airbus will take you to the Leta or the Best Western Inn. Face masks are required on public transportation. If there is not enough space on the first pick up, the bus will return for the guests around 7:45 PM. It's recommended that you take the bus during the first pickup to ensure that all guests are transported to the hotels. If you miss both pickups, you will be responsible for your own transportation to the hotel.
